TrainMate Additional Terms

1. Definitions

• "System" or "TrainMate" — the TrainMate software for managing training schedules and sessions between trainers and members.
• "Trainer" — a training service provider who uses TrainMate to record and manage their schedule.
• "Member" — a training client whose relationship with a trainer is recorded in TrainMate.
• "Session Pass" — a set of training session entitlements issued by a trainer to a member, which may or may not have an expiry date as determined by the trainer.

2. Accounts in TrainMate

A trainer may create a member record before the member signs in. Linking the member's email enables access to their records. An administrator must change an existing email link. Eligibility requirements are set out in the SentiDawn Terms of Service (https://www.sentidawn.com/terms).

3. Booking, using sessions, and ending a link

• Members may submit session booking requests; a booking is confirmed only when the trainer approves it. Trainers may also record or book sessions for members directly.
• A member request reserves one session from the Session Pass while it is pending. If the trainer rejects the request, or the member withdraws it before it is confirmed, that session returns to the pass.
• A confirmed session is deducted from the pass when it is completed, when the member does not attend, or when it is cancelled after the cancellation cutoff. The trainer can reverse a deduction made for a no-show or a late cancellation, in which case the session returns to the pass.
• Whether a cancellation cutoff applies, and how many hours before the session it falls, is set per trainer–member relationship by the trainer and shown in TrainMate.
• When a Session Pass reaches its expiry date, any unused sessions are forfeited. If the trainer renews that pass, the forfeited sessions are restored to it.
• Trainers may deactivate their own trainer–member links. The records for a deactivated link remain viewable for 90 days from deactivation; after that, TrainMate no longer displays those records to users.

4. Payments

TrainMate records payment amounts and transfer slips entered or attached by users. Both are optional. TrainMate does not receive, hold or transfer money and is not a payment intermediary. Payments take place directly between the member and trainer outside TrainMate; payment disputes are between those parties.

5. Training services

• TrainMate provides software for recording and managing training; SentiDawn does not provide the training service and is not a party to the agreement between a trainer and member. Training quality, safety and results are matters between them.
• Members should assess their physical condition and consult a physician before exercising if they have health limitations. SentiDawn is not responsible for injuries or damage arising from the training service, to the extent permitted by law. Nothing in these terms excludes liability that cannot lawfully be excluded.
