TrainMate Terms of Service

1. Acceptance of Terms

By accessing or using the TrainMate system (the "System"), whether through the Trainer Portal, Member Portal, or Admin Console, you confirm that you have read and agree to these Terms. If you do not agree, please discontinue use of the System.

2. Definitions

• "System" — the TrainMate software for managing training schedules and sessions between trainers and members.
• "Trainer" — a training service provider who uses the System to record and manage their schedule.
• "Member" — a training client whose account is linked to at least one trainer.
• "Session Pass" — a set of training session entitlements issued by a trainer to a member, which may or may not have an expiry date as determined by the trainer.

3. Accounts and Sign-in

• Sign-in is available only through a Google account (Google OAuth). You are responsible for keeping your Google account secure.
• Users without a role matching the portal they access have no right to use that part of the System.
• A member account may initially be created and named by a trainer. You will gain access to your data once your email has been linked. Changing an email link afterwards must be done by an administrator.
• You are responsible for all activity that occurs through your account.

4. Booking and Using Sessions

• Members may submit session booking requests; a session is confirmed only when the trainer approves it.
• Trainers may record or book sessions for members directly.
• Remaining session counts, session deduction, cancellations, no-shows, and Session Pass expiry follow the conditions set by your trainer and as displayed by the System.
• When the link between you and a trainer is deactivated, you may still view data related to that trainer for 90 days from the deactivation date. After that period, the System will no longer display that data.

5. Payments

• The System is only a record-keeping tool for payment information and evidence (transfer slips) entered or attached by users. The System does not receive payments, is not a payment intermediary, and does not process any transactions.
• Actual financial transactions occur directly between the member and the trainer outside the System. Payment disputes are a matter between the parties involved.
• Entering an amount or attaching a slip is optional, not mandatory.

6. Scope of Responsibility for Training Services

• The System is scheduling software only and is not a provider of training services. The quality of instruction, safety during training, and any results are matters between the trainer and the member.
• Members should assess their own physical condition and consult a physician before exercising if they have any health limitations. The System is not responsible for injuries or damages arising from training.

7. Prohibited Use

• You must not use the System for unlawful purposes, attempt to access other users' data without authorization, or disrupt or attempt to penetrate the System without permission.
• You must not upload unlawful content or content that infringes the rights of others as payment evidence.

8. Intellectual Property

The software, marks, logos, and components of the System belong to the System operator. Data entered by users remains the property of those users, who grant the System the right to store and process it in order to provide the service under these Terms.

9. Suspension and Termination

• The operator may suspend or terminate accounts that violate these Terms.
• Trainers may deactivate their own members as described in Section 4.

10. Limitation of Liability

The System is provided "as is" without warranty of uninterrupted or error-free operation. The operator's total liability is limited to the maximum extent permitted by law and does not cover indirect damages or data loss beyond reasonable control.

11. Changes to These Terms

These Terms may be updated from time to time. The latest version will be shown on this page together with its effective date. Continued use after changes constitutes acceptance of the updated Terms.

12. Governing Law

These Terms are governed by the laws of the Kingdom of Thailand.
